Overview
Huddle Sync helps users import recurring Excel reports into Google Sheets™ using dedicated Huddle Sync Report Delivery Emails. This Privacy Policy explains how Huddle Sync accesses, uses, protects, stores, retains, and allows deletion of information used to provide the service.
Huddle Sync does not access, read, search, or monitor a user’s Gmail™ inbox. Reports are processed only when they are delivered to a Huddle Sync Report Delivery Email associated with a report connection created by the user.
Data Access
Huddle Sync may request access to Google Drive™, Google Sheets™, Google Apps Script™, and basic Google account information only to provide the report import and automation features configured by the user.
Huddle Sync uses Google user data only to provide user-facing app functionality. Huddle Sync does not sell Google user data, use Google user data for advertising, or use Google user data to train general-purpose artificial intelligence or machine-learning models.
How Google User Data Is Used
- Google Sheets™ access is used to read spreadsheet structure, display available destination tabs, and write imported report data into the spreadsheet and tab selected or created by the user.
- Google Drive™ access is used only for files created, selected, or used with Huddle Sync, including temporary conversion of Excel files when required for import.
- Google Apps Script™ interface access is used to display the Huddle Sync sidebar and related dialogs inside Google Sheets™.
- Google Apps Script™ trigger access is used to create and manage scheduled imports when the user enables automation.
- External service access is used to communicate with the Huddle Sync backend for report connection setup, report retrieval, import status, and completion confirmation.
- Basic Google account information, such as the user’s email address, is used to identify the user’s Huddle Sync account, associate report connections with the correct user, provide support, and apply account or usage settings.
Report Delivery and Processing
Each report connection may be assigned a dedicated Huddle Sync Report Delivery Email. The user or the user’s authorized reporting system sends an Excel report to that address.
Huddle Sync processes only reports delivered to the Report Delivery Email associated with the user’s configured report connection. Huddle Sync does not search the user’s personal or business email inbox.
During report processing, Huddle Sync may temporarily access or store:
- The delivered Excel attachment.
- The sender email address.
- The email subject.
- The attachment file name and file type.
- The report delivery date and time.
- The connection identifier used to route the report.
- Import status, completion status, and error information.
Report attachments are processed only to provide the import requested by the user. After an import is successfully completed and confirmed, the source report and attachment may be removed from Huddle Sync’s processing mailbox and temporary processing environment.
Data Protection
Huddle Sync uses reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure.
- Access is limited to the OAuth scopes needed to provide Huddle Sync’s report import and automation features.
- Connections between Google services and the Huddle Sync backend use encrypted network connections.
- Report connections use unique routing identifiers to direct reports to the correct user configuration.
- Backend systems and operational records are limited to authorized systems and personnel.
- Imported data remains in the Google Sheets™ destination selected by the user.
- Huddle Sync does not sell, rent, or trade Google user data or report contents.
- Huddle Sync does not use Google user data for advertising or unrelated marketing purposes.
- Access to Google user data is controlled through the user’s Google Account permissions and Google’s OAuth authorization process.
No electronic storage or transmission method is completely secure, and Huddle Sync cannot guarantee absolute security.
Data Storage
Huddle Sync stores configuration and operational information needed to provide the service. Some settings may be stored using Google Apps Script™ properties, while report routing, connection status, account information, and operational records may be stored in the Huddle Sync backend database.
Huddle Sync may store the following information:
- User email address.
- Saved report name and connection identifier.
- Destination spreadsheet ID and destination tab name.
- Import mode, such as replace, append, or create a new tab.
- Formatting and header preferences.
- Expected sender and subject-matching rules, when configured.
- Automation schedule selected by the user.
- Report connection and delivery status.
- Import timestamps, file names, row counts, and status results.
- Technical logs used to diagnose errors and maintain the service.
Temporary Conversion Files
When importing an Excel report, Huddle Sync may temporarily convert the file into a format that can be read and imported into Google Sheets™. Temporary conversion files are used only to complete the requested import.
Temporary conversion files are not used for advertising, profiling, or unrelated purposes. They may be deleted after processing when the import workflow is complete.
The imported report data remains in the destination Google Sheets™ file selected by the user until the user deletes or changes it.
Data Retention
Huddle Sync retains information only for as long as reasonably necessary to provide the service, maintain report connections, troubleshoot problems, protect the service, and comply with applicable legal obligations.
- Saved report settings are retained until the user removes or deactivates the report connection, uninstalls the add-on, revokes access, or requests deletion.
- Report routing and connection records may be retained while the report connection remains active.
- Import activity and technical logs may be retained for operational, support, audit, reliability, and security purposes.
- Delivered report attachments are retained only as needed to complete the requested import and handle temporary processing failures.
- Imported report data remains in the user’s selected Google Sheets™ file until the user deletes or changes it.
- Feedback submitted through support or feedback forms may be retained for support and product-improvement purposes unless the user requests deletion.
Data Deletion
Users can delete or disconnect Huddle Sync data at any time by taking one or more of the following actions:
- Remove a saved report connection from the Huddle Sync sidebar.
- Deactivate an existing report connection.
- Clear available activity history from the Huddle Sync sidebar.
- Disable automatic import schedules.
- Delete imported data from the destination Google Sheet™.
- Delete files created through use of Huddle Sync from Google Drive™.
- Remove Huddle Sync’s access from the user’s Google Account permissions.
- Uninstall the Huddle Sync add-on.
- Submit a deletion request through the Huddle Sync Support page.
When a verified deletion request is received, Huddle Sync will delete or anonymize applicable account and backend information unless retention is required for legal, security, fraud-prevention, or legitimate operational purposes.
Sharing
Huddle Sync does not sell or share Google user data or report contents with third parties for advertising, marketing, or unrelated purposes.
Information may be disclosed only:
- To service providers that support the hosting, email delivery, security, maintenance, or operation of Huddle Sync and are required to protect the information.
- When required to comply with applicable law, regulation, legal process, or an enforceable government request.
- When reasonably necessary to investigate fraud, misuse, security incidents, or violations of the Terms of Service.
- As part of a merger, acquisition, financing, or transfer of assets, subject to applicable legal requirements.
Google API Services User Data Policy
Huddle Sync’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Google user data is used only to provide or improve user-facing Huddle Sync functionality that is visible and requested by the user.
Feedback and Support
If users submit feedback or support requests, the information may include comments, ratings, screenshots, technical details, and optional contact information. This information is used only to respond to the request, troubleshoot problems, provide support, and improve Huddle Sync.
Changes to This Policy
Huddle Sync may update this Privacy Policy when its services, data practices, or legal obligations change. The revised policy will be published on this page with an updated effective date.
